How to select appropriate medium

You can choose the media through the following factors:
  • cost
  • speed
  • record of messages
  • reliability

Cost

You should choose the media that you can afford without stressing your wallet or if possible a free medium

Speed

You shoudn't choose a medium that might take a few months to get the message across even if it's free
You should chose a medium with a fast speed

Record of the messages

This depends on whether you want to keep a record of the messages that you sent.


Reliability

The message could get disrupted easily if you choose an unreliable medium, the message could get lost easily.


Steps to overcome barriers

Steps to overcome barriers

At this point there are only two parties responsible for overcoming communication barriers:
  1. the sender 
  2. the receiver

The sender

  • The message should be brief
  • Must have the correct body language
  • Choose appropriate medium
  • Dont let your mood disrupt your message

The receiver

  • You must give feedback to show you understand
  • You must ask questions when you dont understand
  • Pay attention to the message
  • Must have trust with the sender to not misinterpret the message

Barriers to effective communication

There are three parties that can make a barrier to and effective communication:
  1. the sender
  2. the receiver
  3. the medium

The Sender

  1. the message could be too long
  2. the medium could be something the receiver never learned
  3. the message was too complex
  4. the sender chose a poor medium

The Receiver

  1. The receiver never got the full message
  2. the receiver doesn't understand the message

The Medium

  1. The information was lost
  2. The receiver never learned or knew of the medium
  3. Noise disrupted the message

Flow of Communication

There are two major types of communication:
  1. internal communication
  2. external communication

Internal communication inside an organization

Downward communication:

  • it is from high level to low level
  • in other words like a manager communicating with a worker
  • example of mediums: memo, handbook, email
Upward communication:
  • it is from low level to high level
  • like a minimum wage worker communicating with the boss of the organization
  • example of mediums: complaints
Crosswire/Horizontal communication:
  • people of the same level communicating with each other
  • example: talking face to face

Oral communication

Disadvantage:

  1. easily disrupted by internal noise
  2. easily disrupted by external noise
  3. some people might interpret the body language wrong
Example:
  1. face to face

Visual communication

Advantages:
  1. easy to understand
  2. more interesting than written form
  3. a picture speaks a thousand words
Disadvantages:
  1. the message is not always clear
  2. the message might only be understood by the sender only
Example:
  1.  picture
  2. diagram

Written Communication

Advantages:
  1.  it can be kept for a long time
  2. it promotes a system
  3. useful when you cant speak
Disadvantages:
  1. takes up space
  2. no immediate reply
  3. your handwriting could be bad
Examples
  1. letter
  2. memo
  3. reports

Oral Communication

Advantages:
  1. you can observe the sender/receiver's body language
  2. you can have immediate feedback
  3. the message can be immediately corrected if there was an error

Communication process

COMMUNICATION PROCESS

When the information is being transferred, there can be noise that will disrupt the message.

These are the type of noise:
  • external noise: everything outside of you for example: party noises, other people talking.
  • internal noise: Everything inside of you like your emotions or your thoughts
  • semantic noise: this noise occurs when the receiver do not understand the information or message by the sender.
There is also the transmission method which is a part the communication process as it is the medium that transfers the message/information.
